SOP management software for a small team has one job before any other: hold one current version of every procedure, with the people who signed it off and the date it is next due, where the people who follow it can find it in the time between a question and a mistake. That means the procedure itself, its version history, the sign-offs, the review date and a record that can be found when an auditor, a new hire or a buyer asks for it. Everything else, the workflow engine, the AI assistant, the integrations marketplace, is decoration on that.

Size the procedure before you write it
A procedure with twelve steps, three roles and two decision points needs a known number of sections, takes a known number of minutes to run and read, and costs a known number of training minutes across the team. Sizing it first, with the standard operating procedure template tool on this site, is what stops the forty-page SOP nobody reads and the one-paragraph SOP nobody can follow.
One current version, signed off, against the process
Every procedure belongs to a process and a team, has an owner, and has the signatures of the people who approved it. Filing it that way, with the previous versions kept but retired, is the whole difference between a document library and SOP management. Pro does exactly that and reminds the people who owe a signature.
Review it on a date, not when something goes wrong
A procedure written for the business as it was a year ago is stale the day the tool, the supplier or the team changes. Putting a review date on the record and re-sizing when the steps change is the step most teams skip, and the one the software should never let them.
SOP management software: common questions
Is there free SOP management software?
The eight tools on this site size, cost and build procedures free and with no account, and you can print what they produce. RunbookDesk Pro adds the management: the procedure saved against the process, the sign-offs, the version history, the review reminder and the export.
What should SOP management software do that a shared drive does not?
Retire the old version when the new one is approved, record who signed the new one off, remind the owner when the review date arrives, and show a new hire the current procedure for a process without a search. A shared drive does none of those.
Does a team of eight need it?
At eight people with more than a handful of procedures, the version problem has already started. The free tools carry you until it has; Pro is worth it the first time two people follow two versions of the same procedure.

A procedure with two current versions in circulation is two procedures, and the one the newest person found first is the one that runs; SOP management software that does not retire the old version has managed nothing.
